How does the
small business scheme work?

To simplify billing and keep bookkeeping effort low, entrepreneurs below a certain revenue threshold can use the so-called small business scheme.

You then don’t have to charge and remit VAT. The legal basis for this can be found in the Value Added Tax Act (UStG). Small businesses should indicate on their invoices that, in accordance with § 19 UStG, they do not charge VAT.

The advantage of the small business regulation: You save yourself the additional VAT advance return to the tax office – and that can definitely be a relief.

On the other hand, you also can’t benefit from input tax deduction. And deducting input tax can be worthwhile, especially after founding a company. So you should think through the decision for or against the small business regulation carefully and discuss it with your tax office.

Invoices without VAT that are issued under the small business regulation differ from other invoices only in that VAT is not shown. Aside from that, however, these invoices must still meet all GoBD requirements.

If you apply the small business regulation, that doesn’t mean you don’t have to file an annual VAT return. On the contrary: You still have to submit it. The good news: With easybill’s service, you can do it with little effort.

As a small business owner, there are no major differences when creating an invoice compared to regular invoices. You must also observe the mandatory information on an invoice as a small business owner – you just don’t have to state the VAT rate. You only need to include a note that your invoice does not show VAT because you are exempt from it under the small business regulation.

Ideally, you use invoicing software to keep an eye on your revenue. Such software allows you to create and track invoices, manage payments, and evaluate revenue. You should also consider hiring a tax advisor who will support you in managing your finances and keep you up to date on tax regulations and deadlines. Create reports and analyses regularly to get an optimal overview of your finances and, for example, reduce expenses and increase income.

Yes, as a small business owner you are allowed to write your invoices online. There are no special restrictions for small business owners in this regard. When sending invoices by email, you must also meet the legal requirements regarding the mandatory information. Don’t forget to archive the invoice. Instead of sending your invoices manually, this can also be automated with easybill.

The small business regulation is a tax simplification rule for companies with low turnover. This exempts you as a business owner from VAT, so you do not have to show it on your invoices. However, a VAT advance return must still be submitted and an annual VAT return filed. If your turnover in the current year exceeds the limit of 22,000 euros, the small business regulation no longer applies.
